When the organization decided it was time to make a change, Horne said that the following criteria guided The Arc’s selection of a new payroll company:
- Web-based system with the capacity and flexibility to accommodate the company’s continued growth and team member needs.
- Seamless transition to new payroll and HR system for team members.
- Competitive system pricing and the potential to reduce vested man hours with enhanced technology.
- Responsive service from a provider with demonstrated experience meeting unique needs of restaurant industry clients.
A unified solution with increased usability, efficiency, and adoption.
CC’s Coffee House launched the APS OnLine Payroll and HR System in February of 2013.
“Our goal was to select a web-based system with the features and capacity to grow with us,” said Brandy Rush, Team Resource Director. “APS has allowed us to centralize payroll and still have team members feel in control of their paycheck. Pay card and employee self-service options are available that give our team members maximum flexibility. They can make changes to their account whenever they need to from any location. This is important for team members who may be working any day of the week at all hours.”
A smooth and seamless implementation process.
APS representatives worked with the team at Community Coffee to pull payroll and HR history, and import it to the new system at CC’s Coffee House.
“APS helped us at every step of the transition,” said Rush. “They worked with us to capture the data, test it, tweak it, move our direct deposit accounts, and integrate benefits such as previous vacation accruals. We wanted the change to be as seamless as possible for our team. We didn’t have to ask our employees to fill out new direct deposit forms, and APS was even able to keep our employees’ numbers the same.”
Time and cost savings.
Rush said the centralization of HR and payroll systems with APS saved the company valuable time and money.
“The system was competitively priced, and it’s so intuitive, that it saves us a significant amount of time just based on ease of system navigation. It’s easy to get into the system, the fields are logical, and you can quickly move between screens. Without the APS system, we would have been forced to hire two to three additional full-time employees to achieve similar results.”
A secure database with an audit log.
Rush particularly appreciates the automated data-saving safeguard.
“With the amount of information that we input, this is a very beneficial feature,” said Rush. “It’s also a real-time system, so if I enter a change, my teammate in another location can see the change right then.”
Personalized support for continued growth.
Knowing that excellence in customer service is the cornerstone of the company’s success, Rush said the quality of the APS support team was another key factor in their decision-making.
“The best part of being with APS is their team. They understand the importance of speed and the sensitivity to addressing any pay discrepancies timely for employees. They are highly responsive, and they are proactive in developing solutions to meet our emerging needs.”
